In RentOffice Classic and RentOffice Cloud it is possible to integrate your e-mail account for sending mails from RentOffice as well as to make some settings regarding the e-mail layout. This allows you to conveniently send documents such as contracts and invoices by email directly from RentOffice.
Text components and templates can be configured for recurring e-mail content. In this post we will focus on the general settings for the email connection and in the next post we will introduce the available email templates: Email Text Modules.
What do you need for setting up?
Required email account data:
- SMTP - Server of your E-mail account
- SMTP-Port
- Username of your E-mail account
- Password of your E-mail account
The check mark for "Authentication is required for outgoing mail server" must be activated.
The data is entered in RentOffice Classic under Parameters > Properties > 2 - General > "Configure E-mail". In RO Cloud, the data can be stored in Settings > E-mail settings.
How to customise email layout (only for HTML emails)?
The following changes can be made to the E-mail layout:
- Background colour
- Header and/or footer images
- Text colour for the signature in the footer section
The e-mail data stored in RentOffice Classic is only used for sending mails from the Classic programme. If, on the other hand, you also use RO Cloud, RO Booking (online reservation) or the Fleetinspector, the mail data must also be stored in RO Cloud for a functioning e-mail dispatch from these applications. The storage in the different places allows you to use different mail accounts for RO Classic and for example on RO Booking too.

How can different e-mail accounts and images be stored for each station (RO Classic only)?
It is possible to save a separate e-mail account and separate pictures for header and footer on each station. For this purpose, a station selection has been added to the configuration window. If no separate e-mail data is stored for a certain station in particular, the data stored for (Standard) will be used.
